Accounting Operations Coordinator (AP/AR & Vendor Management)
Description
American Builders is seeking an Accounting Operations Coordinator to support the day-to-day financial and administrative operations of the company. This role will be responsible for helping manage accounts payable, accounts receivable, vendor documentation, payment organization, and payroll support. The right person is highly organized, detail-oriented, proactive, and able to follow through.
Core responsibilities
- Process and organize vendor invoices, receipts, and payment requests
- Assist with accounts payable workflows, including invoice review, coding, approvals, and payment tracking
- Assist with accounts receivable workflows, including invoice follow-up, account status review, and collections support
- Maintain accurate vendor files, W-9s, COIs, and supporting documentation
- Audit receipts, payment backup, and material-related records for completeness and accuracy
- Help monitor outstanding balances, due dates, and payment schedules
- Support payroll administration, spreadsheet tracking, and related reporting
- Maintain organized digital and physical filing systems for accounting and vendor records
What we are looking for
- 2+ years of experience in accounting support, accounts payable, accounts receivable, payroll support, bookkeeping, or a related operations role
- Strong attention to detail and follow-through
- Strong organizational skills and comfort managing multiple deadlines
- Experience with QuickBooks, Excel, and digital file management
- Ability to communicate clearly with vendors, internal staff, and leadership
- Construction, vendor-heavy, or project-based environment experience is a plus
