Position Overview – Administrative Assistant 3 (Remote – Customer Engagement)
We are seeking a highly organized, proactive Administrative Assistant 3 to provide comprehensive support to our audit teams operating in the King County region. This role is fully remote, with occasional travel to local offices for in‑person meetings, training sessions, or special projects. You will act as the connective tissue between audit managers, staff, and external stakeholders, ensuring seamless operations, compliance, and exceptional customer service.
Key Responsibilities
- Executive & Team Support
- Serve as the primary liaison for Audit Managers, handling daily communications via phone, email, and virtual collaboration tools.
- Coordinate and prioritize tasks, projects, and deadlines to keep audit teams on schedule.
- Maintain accurate calendars, schedule meetings, and organize virtual and in‑person audit sessions.
- Office Operations & Asset Management
- Oversee office space utilization, equipment allocation, and supply inventories to ensure compliance with budgetary guidelines.
- Manage purchase card activities, reconcile statements, and maintain detailed logs for audit purposes.
- Act as custodian for office leases, equipment maintenance contracts, and vendor relationships.
- Financial & Budget Oversight
- Monitor team‑level budgets, track expenditures, and prepare periodic financial summaries for management review.
- Process staff time entries, leave requests, and travel vouchers, ensuring accuracy and timely submission.
- Human Resources & Payroll Coordination
- Facilitate recruitment activities, including posting job notices, scheduling interviews, and conducting new‑hire orientations.
- Collaborate with HR to maintain personnel files, certifications, and compliance documentation.
- Assist payroll processing by verifying hours, resolving discrepancies, and communicating with finance.
- Audit Support & Stakeholder Engagement
- Respond to inquiries from auditees, citizens, and external partners, providing timely and courteous information.
- Create and maintain audit files, electronic data repositories, and final audit work files (FAWF), ensuring proper retention and secure archiving.
- Assist with audit scheduling, including initial client contact, entrance/exit interview coordination, and distribution of pre‑audit request lists.
- Case Management & Reporting
- Track hotline and fraud case submissions, update activity logs, and communicate status updates to stakeholders.
- Prepare audit engagement letters, meeting minutes, and supporting documentation for both internal and external distribution.
- Provide data entry assistance and generate routine reports to support audit team analytics.
Essential Qualifications
- Minimum of three (3) years of progressive administrative or office‑management experience, preferably within a public‑sector or audit environment.
- Demonstrated ability to interpret and apply organizational policies, procedures, and compliance standards.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience using cloud‑based collaboration platforms (e.g., Teams, SharePoint, Google Workspace).
- Exceptional written and verbal communication skills; ability to draft professional correspondence and produce clear, concise documentation.
- Strong organizational skills with a proven track record of multitasking, prioritizing competing demands, and meeting tight deadlines.
- Experience handling purchase cards, budget reconciliation, and basic financial tracking.
- Knowledge of HR processes such as recruitment, onboarding, and payroll administration.
- Ability to travel occasionally to King County locations (up to 4 days per month) while maintaining a fully remote work arrangement.
- High school diploma or equivalent required; associate’s or bachelor’s degree in Business Administration, Public Administration, or related field preferred.

- Prior experience supporting audit, investigative, or compliance teams.
- Familiarity with audit management software (e.g., CaseWare, IDEA, or similar platforms).
- Certification in Project Management (PMP, CAPM) or Administrative Management (CPM, CAP).
