Job Overview
We are looking for a highly skilled and proactive Operations Manager to oversee the day-to-day operations of our office and ensure the smooth functioning of our systems and processes. Key Responsibilities
- Direct and manage the daily operations of the office, including answering and screening phone calls, greeting visitors, opening and distributing mail, and processing office requests
- Develop and implement functional plans, crisis preparedness plans, and project management initiatives to ensure the efficient operation of the office
- Act as the primary contact for all office and building matters, including maintenance issues, inspections, backup systems, procurement and inventory of equipment, furniture, office supplies, and technology
- Oversee the IT needs of the organization, including troubleshooting and communication with IT vendors, ensuring IT meets industry standards, managing hardware and software needs, and establishing IT policies and procedures
- Provide operational guidance to new employees, including employee introductions, office tours, technology onboarding, and sharing of systems and practices to ensure a welcoming onboarding process
- Collaborate with internal staff to plan and execute events, meetings, and conferences, and provide backup technical and logistical support for external events as needed
- Ensure the confidentiality of sensitive information both internally and externally
- Work closely with the Executive Director on risk management and compliance
Essential Qualifications
To be considered for this role, you must have:
- A Bachelor's degree in a related field, with at least 3 years of experience in operations management or a similar role
- Proficiency in written and spoken English
- Strong project management skills and attention to detail
- Ability to self-direct, prioritize tasks, and work on multiple projects simultaneously
- Excellent communication and interpersonal skills, with the ability to work effectively in a team environment
- High level of IT proficiency, including experience with O365, SharePoint, and other Microsoft applications
Preferred Qualifications and Experience
While not required, the following qualifications and experience are preferred:
- Office management experience, particularly in a small business or non-profit setting
- Experience with change management, software implementation, and systems development
- Formal project management training or certification
- Experience working in a private company with 25-35 staff members
- Familiarity with HRIS and database management
