Role Description
The Medical Records Support with Scheduling Assistant will focus primarily on supporting the medical records workflow, including:
• Verifying that required documentation is present (consents, NOMNC, etc.)
• Following up with clinicians for missing documentation (Emergency Plan, Medication List, Calendar, etc.)
• Preparing and sending Episode Summary Reports to physicians
• Reviewing Discharge Summary timelines and flagging documentation outside the 5-day window
• Monitoring unsuccessful fax reports and notifying the responsible staff
• Verifying physician PECOS enrollment and updating the EMR as needed
• Monitoring the Medical Records email inbox and routing documentation appropriately
• Assisting with mailing patient instruction sheets or amended consents when applicable
Secondary Responsibility – Scheduling Assistance (During Downtime):
• Helping review schedules in HCHB
• Assisting with filling open visits when needed
• Supporting schedule updates or adjustments
• Coordinating with clinicians regarding visit assignments
Medical records responsibilities will remain the primary priority, with scheduling support provided as time allows.
Scope Boundaries:
• The VA’s work will remain administrative in nature.
• The VA will verify that documentation is present and complete.
• The VA will follow up on missing documentation.
• The VA will route records and assist with documentation workflows.
The VA will not:
• Interpret clinical documentation or wound images.
• Make clinical or compliance decisions.
• Modify care plans or physician orders.
Qualifications
• Graduate of a 4-year course or a Bachelor’s degree
• Excellent English communication skills (written and verbal)
• Strong attention to detail, follow-through, and time management
• Ability to work independently while following structured processes and SOPs
• Familiarity with HomeCare HomeBase, Outlook, Google Workspace, Microsoft Office, Slack, and similar tools
• Willing to work an 8-hour graveyard shift - PH Time, aligned with U.S. business hours
• Stable internet connection and reliable computer equipment (with backup)
• Professional, coachable, and open to feedback and role reassignment as needed
Preferred (but not required):
• Prior experience as a Virtual Assistant supporting U.S.-based clients
• Experience in healthcare support, home care, recruitment, sales, scheduling, or operations
• Familiarity with CRMs, scheduling platforms, EMRs/EHRs, or productivity tools
• Ability to adapt across different support functions based on training and performance

Career & Compensation Growth
Team members who demonstrate consistent performance, reliability, and alignment with ABS standards may be eligible for compensation growth over time. Based on performance and role alignment, there is a strong potential to reach a monthly salary of up to ₱39,000 or more after one (1) year of continuous employment.
