Job Description:
• Own and drive a 6-month prospecting workplan aligned with IBP’s fundraising priorities (private foundations, bilateral/multilateral funders, and other institutional sources as relevant).
• Conduct targeted prospect research, including landscape scans, donor mapping, and fit assessments.
• Identify and progress new opportunities: RFP monitoring, relationship pathways, and entry points (events, introductions, briefing offers).
• Develop and lead preparation of concise internal donor intelligence summaries and recommended engagement strategies for priority prospect, along with the Senior Development Associate.
• Maintain a clear, up-to-date pipeline view (stages, next steps, owners, probability, expected value, deadlines).
• Coordinate and/or draft high-quality donor reports (narrative and supporting annexes), working collaboratively with Program, LME, Communications and Finance teams.
• Improve reporting workflows, including templates, timelines, and internal review processes.
• Ensure compliance with donor requirements and proactively flag risks related to deadlines or deliverables.
• Partner with Finance & Operations to align narrative and financial reporting, budgets, and budget narratives.
• Maintain and refine the grants calendar and deadlines tracker, ensuring accountability across teams.
• Draft, edit, and coordinate concept notes and proposals for selected priority opportunities, ensuring strong positioning and compliance with donor guidelines.
• Produce background materials and briefing packs for leadership and program teams ahead of donor/prospect meetings.
• Support stewardship: structured touchpoints, meeting preparation, and timely follow-up correspondence.
• Participate in relevant Development and cross-functional meetings and contribute to a culture of collaboration and learning.
• Represent IBP externally in relevant donor meetings, convenings, and conferences as agreed/required.
• Support a small portfolio of donor-facing events (virtual and/or in-person), such as donor briefings, learning sessions, roundtables, or conference side events in collaboration with an Events/Strategic Engagement Consultant.
• Develop event objectives tied to fundraising outcomes (cultivation, stewardship, renewal).
• Coordinate event logistics in coordination with Events consultant (run-of-show, invites, RSVP tracking, speaker briefs, prep calls, materials, follow-up).
Requirements:
• 8+ years of institutional fundraising experience (private foundations and/or bilateral/multilateral donors), ideally within an international NGO or globally oriented organization.
• Demonstrated experience in prospect research and pipeline management with clear examples of moving prospects to solicitation.
• Strong track record producing high-quality donor reports and coordinating inputs across multiple internal stakeholders.
• Proven ability to plan and manage events that support donor engagement and cultivation (virtual and/or in-person).
• Excellent English writing and editing skills; ability to write clearly, persuasively, and in donor-appropriate formats.
• Strong project management skills: deadlines, workplans, stakeholder coordination, and attention to detail.
• High comfort working across teams and time zones with a collaborative, solutions-oriented approach.
• Proficiency with Microsoft Office/ Teams; experience with Salesforce/ CRM systems is an advantage.
