Leadership Development Associate Project Manager

The Leadership Development (LD) Associate Project Manager is responsible for both the planning and support of successful execution of all Leadership Development engagements; ensuring a high level of effective and efficient client delivery and customer service. They will partner with internal LD Partners, Sales Executives, Customer Success (CS) (account management) and delivery consultants to identify project requirements, scope and manage program details, materials, and scheduling of all LD engagements. Manage varying levels of scope, scale and complexity for our consulting engagements. Be capable of directing multifaceted projects that may include the use of internal and external consultants (1099 staff) and projects that may be comprised of several major and distinct components such as team development consulting, individual coaching, seminars, workshops, etc. The LD Associate Project Manager is the internal driver of program execution and associated outcomes. The tone, flavor and ultimate success of engagements rely heavily upon the strong, proactive yet balanced approach of our PMs. This is a full-time, exempt position. We are also seeking a 1099 contractor in a similar capacity to support our Accelerator Program at $40/hr. If interested in the 1099 role, please indicate this in your application. Responsibilities • Create long and short-term project plans, including setting targets for milestones, monitoring progress towards deliverables, ensuring adherence to deadlines and providing timely status reports. • Coordinate internal and external resources to ensure flawless execution of program delivery. • Serve as the main point of contact for projects: Liaison between delivery, customer success, sales executives, and customers to ensure successful execution of the program. • Provide proactive, regular communication to ensure all parties have clear information on program logistics and other relevant background. • Collect, edit, and format reporting from projects and distribute to all appropriate stakeholders. • Proactively predict and identify issues that arise within projects, escalating to the appropriate team members • Track coaching engagements to ensure milestones, midpoints, and summary reports are completed in a timely manner. Follow up with consultants on overdue milestones and oversee the quality of the coaching dashboard. • Provide feedback, recommendations, and implementation improvement suggestions on the end-to-end delivery system design in support of gaining system and delivery efficiencies. • Manage all aspects of facilitator preparation for workshop delivery, including coordinating and maintaining scheduling logistics and serving as the primary point of contact to confirm the facilitator has everything needed to deliver a seamless and impactful participant experience. Assist in managing logistics for in-person workshops as needed including coordinating consultant travel arrangements as needed. • Collaborate with the Assessment Coordinator on all assessment logistics while maintaining ultimate accountability for participant completion. • Administer training and webinar delivery aspects, including coordinating and scheduling consultants, setting up and maintaining Zoom webinars, tracking attendance, and managing and reporting surveys. • Expense Management: • Review and approve incoming consultant invoices and expense reports, as requested by finance for payment, and communicate with a consultant if there are inaccuracies. Log details of expense records for client billing. • Develop, edit, and quality-assure participant-facing communications including emails and program materials, ensuring messaging is accurate, on-brand, and appropriately tailored to the customer. • Review and refine session presentation decks in close collaboration with facilitators, ensuring the intended content and learning objectives are effectively captured, visually consistent with brand standards, and suitable for the designated leadership level. • Manage and organize department training materials and documentation to ensure version control. Experience • 3-5 years of project management experience in a direct client-facing capacity or within a client-facing organization. • Proven track record of exemplary written and verbal communication, including the ability to quickly build strong working relationships with the team and clients. • Detail-oriented in managing and tracking multiple concurrent, complex projects. • Highly organized and efficient; excellent time management skills. • High level of follow-through with the needed communication on progress. • Takes initiative and owns tasks completely. • Process oriented – likes managing and creating processes and systems. • Comfortable asking questions and challenging ineffective processes, procedures, or methods. • Knowledge of Agile & Waterfall methodologies • Project Management tool savvy: Smartsheet experience a plus. • Advanced knowledge and skills with PowerPoint, Word, Excel. • Knowledge of HubSpot desired. • Knowledge of Learning Management Software desired. • Survey Monkey or similar survey tool experience desired.
