Legal Operations Coordinator

Job Description: • Establish and maintain governance protocols for PandaDoc and Salesforce usage • Lead centralized document storage consolidation project • Organize and maintain contract folders and filing systems • Serve as system administrator for PandaDoc and other legal management tools • Develop and implement systematic workflows for legal request intake and routing • Own and manage the legal mailbox • Act as primary point of contact for trademark and patent attorneys • Maintain comprehensive IP tracking systems for trademark and patent renewals • File and organize all IP-related documentation including patent applications and assignments • Serve as point of contact for external parties in legal matters • Maintain legal matter tracking files and case management documentation • Assist with maintenance of country-specific terms of service • Support implementation of standardized contract terms across customer base • Act as liaison to external counsel and filter communications as appropriate • Support ad-hoc legal projects and research as needed Requirements: • 5 years of experience as a legal assistant, paralegal, or in a similar legal operations role • Prior experience in a corporate legal department or law firm environment • Paralegal certificate or legal studies coursework • Demonstrated experience with contract lifecycle management and document organization systems • Strong working knowledge of legal management software (e.g., PandaDoc), Salesforce, and Microsoft Office Suite • Excellent written and verbal communication skills with ability to interface professionally with external counsel, opposing parties, and internal stakeholders • Exceptional attention to detail with ability to manage multiple priorities, deadlines, and filing systems • Self-starter with ability to develop and implement processes and workflows independently • High degree of professionalism and ability to handle confidential information • Proven ability to work cross-functionally and train others on new systems and processes Benefits: • Competitive compensation and reward strategies • Opportunities for growth and advancement • Health and finance support • Recognition and reward programs
