The Accounts Payable Specialist will manage all accounts payable processes, ensuring timely payments and effective communication across departments and international teams.
Responsibilities
- Own and process all accounts payable, including vendor invoices, bill payments, and payment runs as well as assist with cash management
- Manage RAMP corporate credit card transactions, including review, coding, and reconciliation
- Administer ApprovalMax workflows, ensuring invoices and reimbursements are properly approved and documented
- Reconcile bank accounts and credit card accounts on a routine basis
- Perform basic general ledger reconciliations related to AP, cash, and prepaid expenses
- Assist with petty cash controls and tracking, including international locations
- Work closely with international employees and vendors, supporting payments across multiple countries and currencies
- Proactively communicate with internal teams and vendors to resolve issues, discrepancies, or delays
- Complete end of year 1099s and donation tax receipts
Skills
- 1–3 years of experience in accounts payable or general accounting
- Strong attention to detail with the ability to manage high transaction volume
- Experience with expense management systems, credit card platforms, and approval workflows (e.g., Ramp, Zoho, ApprovalMax or similar)
- Comfortable working with international employees, vendors, and time zones
- Ability to reconcile accounts and identify discrepancies independently
- Strong communication skills and a proactive, solution-oriented mindset
- Ability to work cross-functionally and build positive working relationships
- Highly organized, resourceful, and able to meet deadlines in a remote environment
- Bachelor's degree in Accounting, Finance or related field
- Experience in nonprofit or mission-driven organizations
- Exposure to multi-entity or international accounting
- Familiarity with ERP or accounting systems supporting AP automation
