The American Arbitration Association (AAA) is a recognized nonprofit organization that leads arbitration and mediation across diverse industries. They are seeking a highly organized and detail-oriented Case Filing Specialist to support the intake of arbitration and mediation case filings, ensuring compliance with policies and assisting with client inquiries.
Responsibilities
- Review new case filings to ensure compliance with AAA policies, due process protocols, and documentation standards
- Accurately input case information into our case management system, scan and index documents, and verify data with colleagues and case owners
- Respond to filer inquiries, resolve incomplete submissions, and communicate AAA procedures clearly and professionally
- Create and maintain customer accounts, ensure confidentiality of case data, and escalate complex issues to management
- Assist with research and data maintenance projects, while participating in team meetings and training sessions to support continuous improvement
Skills
- Associate's degree in Business Administration, Legal Studies, or a related field, or equivalent experience
- 0–2 years of administrative experience in a client-focused corporate or legal environment
- Proficiency in Microsoft Outlook, Word, Excel, and the ability to learn case management systems
- Excellent attention to detail, organizational skills, and time management
- Strong verbal and written communication skills to support both client and internal interactions
- Ability to handle confidential information with discretion and adhere to data security protocols
