They are seeking a highly organized, responsible, and detail-oriented Jr. Operations Analyst to support their clients during the college admissions process. The role involves administrative support, collaboration with team members, and process improvement to ensure smooth operations.
Responsibilities
- Provide administrative support that keeps internal meetings, action items, and key deliverables running on schedule
- Maintain accurate data on all records, trackers, and documentation in Google Workspace, Monday.com, and other project management tools
- Coordinate and monitor internal check-ins and key project milestones to ensure clear ownership, defined timelines, and consistent follow-through
- Prepare, organize, and update relevant files, templates, and documents for the team’s reference and daily use
- Monitor the progress of action items, tasks, deadlines, and general deliverables through project management tools
- Send targeted reminders and follow-ups, flagging delays or bottlenecks to the appropriate team members
- Uphold clear internal turnaround times for action items and deliverables across the division to ensure consistent execution
- Ensure clear and consistent communication between members of the College Division and, when appropriate, other divisions of the company
- Support management and leadership with ad hoc administrative tasks that align the team around shared priorities and timelines
- Document and relay important updates and decisions in a clear, professional manner to relevant team members
- Uphold established processes and standards meticulously while also identifying areas to improve and innovating solutions
- Maintain internal databases, templates, and operational documentation to ensure consistency and ease of use
- Execute with data entry, basic data presentation, and report preparation to support
Skills
- Bachelor's degree from any Top University in the Philippines
- Exceptional English verbal and written communication skills with a strong command of grammar and lexicon
- Ability to manage and monitor deadlines in a fast-paced, detail-oriented environment
- High level of flexibility and professionalism when coordinating with team members
- Strong critical thinking, analytical, and decision-making abilities, with a proactive approach to identifying challenges and developing solutions
- Strong time management and organizational skills with the ability to manage multiple demands, prioritize tasks effectively, and meet tight deadlines without compromising quality
- Demonstrated expertise in utilizing productivity software, including Google Docs, Google Sheets, and other collaborative platforms
- Proficient in navigating web-based business tools such as Gmail, Slack, Monday.com, and similar communication or project management systems to facilitate efficient workflow and information sharing
- Experience in working successfully within multidisciplinary teams, leveraging the diverse skills, abilities, and knowledge of colleagues to achieve shared objectives
- Demonstrated ability to foster a collaborative and inclusive team environment, contributing to group problem-solving and project execution
- Degree in Education, Psychology, Creative Writing, or other related fields is preferred but not required
- Prior experience in administrative or executive assistant roles is highly preferred but not required
- Proficiency in Google Workspace, Slack, Zoom, and Monday.com is highly preferred but not required
- Experience in education consulting or college admissions is preferred but not required
- Experience working PST hours is preferred but not required
