About the Role: Orchestrating Seamless Student Placements
As a Student Placement Coordinator, you will be the linchpin in our Instrumental & Vocal Instruction program, responsible for matching students with the right teachers and lesson schedules. This hybrid role offers the flexibility to work from our Remote office or home, allowing you to strike the perfect balance between work and personal life. Key Responsibilities: Delivering Exceptional Placement Experiences
- Provide exceptional customer service throughout the placement process, responding to inquiries, concerns, and feedback from students, parents, and faculty members via phone and email.
- Monitor and manage the placement inbox, ensuring timely and effective responses to both routine and complex inquiries.
- Foster positive relationships with instrumental and vocal instruction faculty members, promoting a supportive and inclusive community.
- Utilize HubSpot to track faculty availability, update program leaders on scheduling challenges, and maintain accurate records.
- Develop and implement effective strategies for each new placement inquiry, assigning tasks to the Placement Assistant as needed.
- Analyze and assess potential matches between teachers and students, considering learning preferences, schedule constraints, and other factors.
- Research and facilitate student transfers as requested by program leaders, ensuring a seamless experience for students.
- Oversee the placement process, from initial request to lesson confirmation, and create student ActiveNet accounts.
- Monitor and report on faculty work capacity, interest, and unmet needs to supervisors and the Director of Individual Instruction.
- Maintain up-to-date templates for student and teacher communication in HubSpot, ensuring consistency and efficiency.
- Welcome and onboard new teachers, creating profiles in HubSpot and providing support as needed.
- Interpret and apply MacPhail's instruction programs and policies, providing guidance and support as required.
Essential Qualifications: The Ideal Candidate
To succeed in this role, you'll need:
- A High School Degree or equivalent, with 2-4 years of related work experience in customer-facing or educational settings.
- Excellent customer service skills, with the ability to communicate effectively and empathetically with diverse stakeholders.
- Proficient oral and written communication skills, with the ability to craft clear, concise messages and reports.
- Solid working knowledge of CRM or sequential databases, with experience in HubSpot a significant advantage.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Strong attention to detail and proven accuracy in record-keeping and data management.
- The ability to manage time effectively, prioritizing tasks and meeting deadlines in a fast-paced environment.
