This role will create a clear, navigable map of the business that leadership can use to:
See gaps
Reduce dependence on individuals
Prepare for CRM / system implementation
Support scale or transition
Core Responsibilities
Business Process Mapping
Interview stakeholders to understand end-to-end workflows, including:
Sales intake
Customer management
Distributor handling
Pricing updates
Reporting
Create visual process maps (Lucidchart, Miro, Whimsical, etc.)
Document:
Inputs
Outputs
Decision points
Hand-offs
️ Systems & Access Documentation
Identify every system in use, including:
QuickBooks
Spreadsheets
Shared drives (Dropbox / Google Drive)
Email-based processes
Document for each system:
Purpose
Where it’s accessed
Who has access
What credentials exist (no passwords, just ownership + login method)
Information Mapping
Link each process step to:
Files
Reports
Tools
Data sources
Answer clearly:
“If someone new joined tomorrow, where would they go to find this?”
Deliverables
Business Process Maps (visual)
Systems & Access Register (tool, owner, access type)
Data Location Index (what info lives where)
Current-State Summary (gaps, risks, dependencies)
Who This Role Is For

Required Experience
Business process mapping or operations documentation
Tools like Lucidchart, Miro, Whimsical, or Visio
Experience documenting systems and workflows
Strong written documentation skills
Nice to Have
Operations consulting background
Experience with SMBs or founder-led businesses
Familiarity with QuickBooks and CRMs (at a conceptual level)
