EarthCorps is a Seattle-based non-profit that cultivates leaders and community partnerships to advance environmental justice. The Development Coordinator is responsible for managing fundraising operations, ensuring accurate donor stewardship, and coordinating campaign execution logistics.
Responsibilities
- Upload all gifts daily/weekly to CRM (online, checks, EFT, stock, employer match); code campaigns, appeals, funds, and soft credits
- Generate and mail/email timely acknowledgment letters and tax receipts; ensure personalization and proper recognition preferences
- Maintain spotless CRM records (contact updates, affiliations, giving history, consent/preferences)
- Reconcile gifts with Finance monthly; track pledges and installment schedules
- Document and continuously improve gift processing workflows and CRM data standards to ensure compliance, accuracy, and long-term system sustainability
- Execute stewardship touchpoints for annual donors (thank-you calls, handwritten notes, impact updates, donor surveys)
- Coordinate pull-lists for thank you calls by board/leadership and track completion in CRM
- Support donor segmentation for renewal/upgrade campaigns and lapsed reactivation
- Coordinate list segmentation, list pulls, scheduling, and CRM tagging for all fundraising communications in collaboration with Communications
- Track and report on campaign performance (revenue, response rates, and participation metrics)
- Ensure donation forms, appeal materials, and stewardship touchpoints are current and aligned with campaign messaging
- Plan and execute small-to-mid-size donor events (briefings, site tours, cultivation salons) and support larger annual event
- Own guest lists, RSVPs, nametags, room/AV/vendor logistics, run-of-show, and post-event follow-up tagging/notes
- Coordinate volunteer speakers and corpsmember storytelling prep
- Build/maintain dashboards and routine reports (retention, LYBUNT/SYBUNT, giving by segment, campaign progress) in collaboration with Salesforce Administrator
- Pull clean, segmented lists for appeals/stewardship and ensure deduping and opt-out compliance
- Conduct light prospect research in collaboration with the Director (basic capacity and affinity notes; no deep profiles)
- Maintain recurring dashboards and standard performance reports; advanced analytics and forecasting are led by the Director
- Maintain grants calendar (deadlines, deliverables, reports); track status in CRM/SharePoint
- Coordinate document collection (program data, budgets, letters), attachments, signatures, and portal submissions
- File grant documents and outcomes; assist with outcomes tracking for reports
- Support for donor meetings; help prep one-pagers, briefing notes, and follow-up tasks in CRM
- Process vendor invoices/expense reports; order print materials; manage inventory of stewardship supplies
Skills
- 1–3 years of experience in fundraising operations, nonprofit admin, customer operations, revenue processing, or similar detail-oriented role involving financial transactions and CRM management
- Comfort with a nonprofit CRM (e.g., Salesforce, Raiser's Edge, EveryAction, Bloomerang, Neon) and Excel/Sheets
- Excellent organization and time management; able to juggle many details and deadlines with accuracy
- Strong storytelling and written communication; customer-service orientation and donor-facing professionalism
- Basic reporting/list-pulling skills; willing to learn segmentation and dashboards
- Commitment to equity, inclusion, and environmental justice
