The Document Processing Specialist is responsible for efficiently processing various documents, ensuring compliance, and maintaining records to support seamless workflow within the organization.
Responsibilities
- Place mail in proper buckets for distribution
- Collect daily mail and distribute to correct departments. Date stamp all incoming mail
- Sort mail such as returned letters, adjustments, bills, orders, and payments
- Prepare outgoing mail for Enrollment and Operations teams
- Weigh mail to determine correct postage
- Fold letters, circulars, or other documents and insert into envelopes for distribution
- Prepare Enrollment Batches
- Maintaining Misdirected Document Log
- Logging batches in and out of file system
- Organize, maintain, and scan documents
- Stock copy rooms and printing devices
- Ensure office is adequately stocked with mail supplies
- Fax documents to clients, members, and vendors
- Support mailing, scanning/copying, and filing needs of Claims department as needed
- Support operational departments when needed
- Other duties as assigned
Skills
- High School diploma or equivalent GED
- Must be able to lift 40 pounds
- Knowledge of office management systems and procedures
- Knowledge of administrative procedures
- Knowledge of basic accounting procedures
- Knowledge of relevant software applications including MS Office
- Proficient in use of email and internet
- Good numeracy skills
- Accurate keyboard skills
- Must be able to travel when needed or required
- Ability to operate a keyboard, mouse, phone and perform repetitive motion (keyboard); writing (note-taking)
- Ability to sit for long periods; stand, sit, reach, bend, lift up to fifteen (15) lbs
- Ability to express or exchange ideas to impart information to the public and to convey detailed instructions to staff accurately and quickly
