About the Role
We're seeking an experienced administrative professional to join our Airport Stations Team within the Customer Experience Division. As a Staff Assistant, you'll be responsible for performing a wide range of office duties, including data entry, administrative support, and customer service. This is a fantastic opportunity to work remotely and be part of a team that's passionate about delivering exceptional results.
Key Responsibilities
- Provide support in planning and preparing management presentations and special projects as required
- Control, review, and monitor local invoices through InvoiceWorks and distribute as required
- Investigate and escalate office technology issues, including phone and copier machines
- Track and ensure employees complete onboarding obligations, including proper system access, assignment of storage spaces, mailboxes, uniforms, ID badges, fingerprinting, training, etc.
- Assist in station event planning, coordination, and execution (e.g., team-building activities, lunch meetings, special events, recognition events)
- Handle payroll processing in Workbrain for management and care staff
- Process deprivation letters and arrange local communications and reactions
- Oversee employee parking, including permitting and assignments, as required
- Assist with timekeeping functions, data entry, data verification, reconciliations, and filing
- Maintain employee records, as needed
- Maintain Station meeting schedules, including monthly emergency response
- Access and manage various periodic reports, including performance, audit, cost, employee engagement, and recognition, etc.
- Update required manuals, files, and maintain all security-related items
- Act as a backup for various payroll functions
- Oversee records for OSHA, security, etc. (301's, weekly, and annual)
- Assist with budget preparation and reconciliation, including monthly closeout of landing charges
- Support auditing activities as required
- Track and verify incentive reserves acquired
- Liaise with CRE/Offices and vendors to follow up on local programs, as needed
- Lead/coordiante work with other care staff, as needed
- Perform various duties as required
Requirements and Qualifications
Essential Qualifications
- Bachelor's degree in a related field
- Previous office/administrative experience
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook, etc.
- Knowledge of policies, procedures, and corporate design
- Ability to prioritize work, be meticulous, and meet deadlines
- Ability to work in a fast-paced environment and handle multiple tasks
- Self-motivated with strong organizational skills
- Ability to understand concepts and functionality of specific software and programs
Preferred Qualifications
- Previous experience in the aviation industry
- Familiarity with InvoiceWorks and Workbrain
