The Claude AI & Automation Specialist is a lead-level individual contributor responsible for driving the adoption, implementation, and deep working knowledge of Claude across every function within Koin’s multi-brand e-commerce business. This is a new role created to ensure the business extracts maximum value from AI as a core operational capability.
The primary focus of the role is process automation and workflow building — identifying manual, repetitive, or inefficient processes across the business and designing Claude-powered solutions that save time, reduce cost, and improve output quality. This extends across all departments including marketing, operations, finance, customer service, and systems.
Beyond automation, the role carries significant responsibility for upskilling the wider team. The Claude AI & Automation Specialist will design and deliver training programmes, create reusable templates and tools, and provide hands-on coaching to ensure every team member can use AI effectively in their day-to-day work. The goal is to build a culture where AI-augmented work is the default, not the exception.
The successful candidate will be expected to maintain deep expertise across all Claude surfaces — including Chat, Cowork, and Code — and apply the right tool to the right problem depending on the situation. They should also be comfortable working with agents, sub-agents, and orchestration patterns to build intelligent, multi-step workflows. Experience with other AI platforms and automation tools is also valued, as the role requires a broad understanding of the AI tooling landscape.
We are looking for someone who gets genuinely excited by new technology, systems, and logic. Someone with a natural problem-solving mindset who sees an inefficient process and immediately starts thinking about how to fix it. Curiosity and initiative are just as important as technical skill in this role.
This role reports to the Head of Systems & Data and works cross-functionally with all departments. Full training will be provided on Koin’s internal systems and tech stack.
Key Responsibilities
Process Automation & Workflow Building
- Design, build, and maintain Claude-powered automations that deliver measurable time and cost savings
- Develop multi-step workflows that integrate Claude with existing business systems and tools
- Design and implement agent-based architectures including sub-agents and orchestration agents to handle complex, multi-stage business processes
- Build and maintain reusable prompt templates, Claude Projects, custom skills, and automation patterns
- Evaluate and implement automation platforms (e.g. Make, n8n) alongside Claude to create end-to-end workflows
- Document all automations with clear logic, dependencies, and maintenance requirements
- Monitor automation performance and iterate based on output quality and reliability
- Identify and prioritise manual, repetitive, or inefficient processes across all departments for automation
Training & Team Enablement
- Design and deliver structured training programmes to upskill team members across all departments in effective AI usage
- Create formal training materials including guides, video walkthroughs, and reference documentation
- Provide one-to-one coaching and ad-hoc support to help individuals integrate AI into their specific workflows
- Build self-serve templates, tools, and resources that enable teams to leverage Claude independently
- Track and report on team adoption metrics and AI literacy across the business
- Stay current on Claude product updates, new capabilities, and emerging AI tools, and communicate relevant changes to the team
Prompt Engineering & Output Quality
- Develop and refine prompting strategies to maximise the accuracy, consistency, and quality of Claude’s outputs across Chat, Cowork, and Code
- Establish best practices and style guides for prompt engineering across different use cases
- Build and maintain a library of tested, high-performance prompts for recurring business tasks
- Evaluate output quality across different Claude models and surfaces, recommending the optimal approach for each use case
- Troubleshoot and resolve issues with prompt performance, hallucination, or inconsistent outputs
AI Strategy & Innovation
- Contribute to the development of the business’s AI adoption roadmap and strategic priorities
- Research and evaluate new AI tools, models, and capabilities relevant to Koin’s operations
- Identify opportunities where AI can create competitive advantage or unlock new capabilities
- Benchmark Koin’s AI maturity against industry best practice and recommend improvements
- Provide input on build-vs-buy decisions for AI-powered tooling and integrations
Cross-Functional Collaboration
- Work with marketing, operations, finance, customer service, and e-commerce teams to understand their workflows and pain points
- Act as the central point of contact for AI-related questions, requests, and project scoping across the business
- Partner with the Systems & Data team to ensure AI solutions integrate cleanly with existing data pipelines and platforms
- Communicate progress, impact, and learnings through regular reporting to leadership
Requirements
- Demonstrable deep expertise with Claude across all surfaces including Chat, Cowork, and Code
- Proven track record of using AI to automate business processes and deliver measurable efficiency gains
- Strong prompt engineering skills with the ability to design, test, and iterate on complex prompts for diverse use cases
- Experience designing and building agent-based workflows including sub-agents and orchestration agents
- Experience training and upskilling non-technical team members in AI tools and workflows
- Comfortable with light coding including working with APIs (REST, webhooks, OAuth), JSON, and basic scripting (e.g. Python or JavaScript)
- Strong understanding of workflow automation concepts including triggers, conditions, data mapping, and error handling
- Excellent analytical and problem-solving skills with the ability to break down complex processes into automatable steps
- A natural problem-solving mindset with genuine excitement for new technology, systems, and logic
- Strong written and spoken English with the ability to create clear documentation and training materials
- Ability to clearly communicate technical concepts and AI capabilities to non-technical stakeholders
- Self-directed and structured working style, able to manage workload independently in a remote environment aligned with UK business hours
- Naturally curious with a bias toward continuous improvement and staying ahead of the rapidly evolving AI landscape
Desirable (But Not Essential)
- Experience with automation platforms such as Make, n8n, Zapier, or similar workflow tools
- Familiarity with other AI platforms and models (e.g. OpenAI, Gemini, Perplexity) and the ability to compare capabilities objectively
- Experience working with e-commerce platforms, particularly Shopify
- Familiarity with ERP systems, particularly NetSuite
- Experience with iPaaS or middleware platforms for system integration
- Understanding of e-commerce operations including order management, inventory, and customer lifecycle
- Experience working in or with D2C or multi-brand retail businesses
- Familiarity with MCP (Model Context Protocol) or similar AI integration standards
- Experience building or managing Claude Projects, custom skills, or agent
