The Role: Executive Assistant, Ads
We're seeking a highly skilled and experienced Executive Assistant to join our Ads team at Netflix, based in New York. As a key member of our executive administrative support team, you'll play a vital role in enabling our Advertising executives to thrive in a fast-paced, dynamic environment. Key Responsibilities:
- Maintain calendars for 3 Executives and their direct reports, ensuring seamless scheduling of internal and external meetings, events, and travel arrangements.
- Proactively assist with departmental support, including preparation and distribution of meeting materials, facilitation of successful agenda item delivery, and follow-up to ensure project plan execution.
- Coordinate travel arrangements, including domestic and international bookings, passport renewals, and visa processing.
- Serve as New York Office Space Lead, overseeing the expansion of our office and hosting events for the Ads team and clients.
- Plan team and cross-functional offsites, coordinating with hotels, vendors, and service providers for logistics, catering, and transportation.
- Process expense reports and assist with onboarding tasks for new hires.
- Display professionalism and discretion in communication with internal and external partners.
- Handle special projects and ad-hoc requests, such as preparing presentations, org charts, and spreadsheets.
- Anticipate and resolve scheduling conflicts effectively and proactively.
- Occasional travel to Los Angeles, CA office for business-critical events.
Essential Qualifications:
- 8+ years of experience as an Executive/Administrative Assistant, with a proven track record of supporting Senior Executives and complex, matrixed organizations.
- Demonstrated discretion when handling sensitive and confidential information.
- Strong written and verbal communication skills, with the ability to multi-task and prioritize tasks effectively.
- Proficiency in Google Workspace (Gmail, GCalendar, Google Docs, Google Groups) and MS Word/Excel.
- Experience with event organization and planning.
Preferred Qualifications:
- Experience working in a fast-paced, dynamic environment, preferably in the entertainment or advertising industry.
- Strong understanding of how to prioritize tasks and respond accordingly in a team-oriented setting.
